Booking Confirmation: What Hosts Should Check
Use this checklist to verify a new reservation before preparing the property and guest experience.
Receiving a booking is only the first step. A quick confirmation check can help identify incorrect dates, mapping issues, missing guest information or availability problems before they become operational issues.
Booking confirmation checklist:
1. Confirm the property
Make sure the reservation is attached to the correct property.
2. Confirm the room or inventory
For properties with multiple rooms, verify that the correct room or inventory has been reserved.
3. Check check-in and check-out dates
Make sure the dates match the original booking and that the number of nights is correct.
4. Check guest details
Review the available guest name, contact information and number of guests.
5. Check the booking source
Identify whether the reservation came from an OTA, direct booking, Homeyhuts or was entered manually.
6. Check the reservation status
Make sure the booking is confirmed and not pending, cancelled or otherwise restricted.
7. Check the calendar
Confirm that the correct dates are blocked and that no conflicting reservation exists.
8. Check connected channels
For OTA-connected properties, verify that availability has been updated across the relevant channels.
9. Check payment/payout information
Review the booking value and any relevant payment, fee, discount or payout information available for the reservation.
10. Communicate internally
If you have a caretaker, housekeeping team or property manager, share the information they need for the upcoming stay.
Example:
A booking arrives for 24–26 December. Before the guest arrives, verify the dates, property, inventory, guest count and reservation status, then check the calendar to ensure the property is correctly blocked.
Why this matters:
Most booking problems are easier to fix before the guest arrives. A two-minute verification can prevent incorrect check-in dates, double bookings, missed housekeeping arrangements and guest communication issues.
Tip: Make this checklist part of your routine whenever a new booking comes in, particularly for last-minute reservations and properties connected to multiple OTAs.
