1. How to Access Unified Inbox

To get started:

  1. Log in to your Homeyhuts account.
  2. Open Messages from the main navigation menu.
  3. Select a conversation to open the chat, read messages, and reply to the guest.

Your inbox may display the following information:

  • Guest name
  • Property information
  • Booking dates, where available
  • Message previews
  • Booking or enquiry status

Conversations from your connected channels appear in one list, making them easier to manage.

2. Search and Filter Conversations

When you're managing multiple properties, finding a particular conversation quickly is important.

Unified Inbox provides search and filtering options to help you locate messages without scrolling through your entire inbox.

  • Search: Search by guest name, property, or message.
  • All: View conversations across your inbox.
  • Unread: Filter conversations you haven't read yet.
  • All Channels: Filter conversations by booking channel.

These options help you focus on the messages that need your attention.

3. Manage Conversation Priorities and Statuses

Unified Inbox includes options to help you organise conversations and identify messages that need attention.

  • Priority: Move important or urgent conversations to Priority so they're easier to find.
  • Mark as Unread: Mark a conversation as unread if you need to return to it later.
  • Star: Mark important conversations for easy reference.
  • Archive: Remove conversations from your main inbox view to keep it organised.

Conversations may also display statuses such as Booking Request, Enquiry, Booked, or Offer Expired, depending on the conversation.

These labels help you understand the context before opening a chat.

4. Reply to Guests from One Place

To respond to a guest:

  1. Select the conversation from your inbox.
  2. Read the guest's message and review the available booking or property details.
  3. Type your response in the message box.
  4. Send your reply.

You can manage guest communication directly from Homeyhuts for connected channels where messaging is supported.

This reduces the need to switch between different booking platforms to respond to guests.

5. Use Quick Replies to Save Time

If you frequently send similar messages, Quick Replies lets you reuse saved message templates instead of typing the same information repeatedly.

How to Use Quick Replies

  1. Open a guest conversation.
  2. Select the Quick Replies option near the message box.
  3. Search for a saved reply or choose one from the available list.
  4. Review the message and update any required details.
  5. Send the message when you're ready.

You can also type / in the message box to find a saved reply using its name or shortcut.

Examples of Quick Replies

You can use saved replies for common situations, such as:

  • Sharing property information.
  • Confirming whether dates are available.
  • Informing guests that dates are unavailable.
  • Sharing directions and map links.
  • Providing check-in information.

Important: Always review the message before sending it. Check details such as the guest's name, property name, dates, address, and map link to ensure the information is correct.

You can manage your saved replies through the available Quick Replies settings.

6. Schedule Messages for Later

Sometimes you may want to prepare a message now and send it at a later time.

Unified Inbox includes a Send Later option that lets you schedule messages in advance.

How to Schedule a Message

  1. Open the relevant guest conversation.
  2. Type the message you want to send.
  3. Select the scheduling option near the message box.
  4. Choose a suggested time or select a specific date and time.
  5. Review your message and confirm the schedule.

Available Scheduling Options

Depending on the options shown in your interface, you can schedule messages for:

  • In one hour.
  • This evening.
  • Tomorrow morning.
  • The day before check-in.
  • A specific date and time.

For example, you can prepare a check-in reminder in advance and schedule it to be sent the day before the guest arrives.

This helps you plan guest communication without having to remember to send every message manually.

Tip: Before scheduling, check that the message contains the correct details and that the selected date and time are appropriate for the guest.

7. Add Internal Team Notes

When multiple team members handle guest communication, important information can easily get lost between conversations.

The Team Note feature lets you add internal notes to a conversation so your team can coordinate follow-ups.

How to Add a Team Note

  1. Open the relevant guest conversation.
  2. Locate the Team Note section in the conversation details panel.
  3. Enter the information your team needs to know.
  4. Save the note.

Examples of Team Notes

You can add reminders such as:

  • Follow up with the guest regarding their enquiry.
  • Confirm the caretaker's availability.
  • Check the property's readiness before arrival.
  • Follow up on a pending booking request.

Important: Team Notes are visible only to your team. They are not sent to the guest.

Use this feature to keep internal instructions, reminders, and follow-ups organised.

8. View Booking and Property Information

When responding to a guest, you may need more information than what's visible in the chat.

Unified Inbox displays relevant booking and property details alongside the conversation, where available.

Information You May Find

  • Guest and booking details: Guest count, booking dates, length of stay, and booking status.
  • Potential earnings: The displayed potential payout or earnings for the reservation.
  • Property information: Listing name and other available property details.
  • Show Enquiry: Open the enquiry details for applicable enquiries to review the request.

Having this information alongside the conversation helps you understand the guest's requirements and respond more accurately.

Note: Potential earnings may differ from the actual amount transferred because of taxes, deductions, or other adjustments applied by the booking platform.

9. Manage Airbnb Booking Requests

Unified Inbox also supports certain booking-related actions directly from Homeyhuts.

For Airbnb conversations, you can approve or accept supported booking requests from Homeyhuts.

However, there is one important limitation:

Withdrawing a pre-approved request on Airbnb must still be done manually on Airbnb.

If you need to withdraw a pre-approved request, open Airbnb and complete the action there.

Always check the booking status before taking action to avoid confusion or unnecessary follow-ups with the guest.
